Key Responsibilities:

  • Act as the primary point of contact for office inquiries, providing information and addressing questions.
  • Ensure efficient utilization of office resources, including equipment and supplies, through regular maintenance and inventory checks.
  • Enhance operational efficiency by reviewing and improving standard procedures related to scheduling, communication, and office organization.
  • Facilitate collaboration by coordinating both internal and external resources to streamline workflows.
  • Support the achievement of organizational objectives while adhering to best practices.
  • Manage front-desk operations, including handling a multi-line phone system, welcoming visitors, and overseeing mail and shipment processes, while maintaining a tidy office space.
  • Provide comprehensive administrative assistance to senior management, including drafting and distributing correspondence, reports, and various documents.
  • Organize and schedule meetings, both in-person and virtual, ensuring all logistics are handled efficiently.
  • Coordinate travel arrangements for staff, both domestically and internationally.
  • Maintain organized filing systems, contact databases, and inventory records.
  • Order and manage supplies and refreshments for meetings.

Qualifications:

  • Demonstrated experience in an administrative role.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management capabilities.
  • Proven track record in office management.
  • Experience in budget management and expense tracking.
  • Ability to develop and implement internal processes and filing systems.
  • Comfortable managing sensitive and confidential information.

Education:

  • Associate's degree or equivalent professional experience.

Compensation:

  • Salary range: $41,714 - $50,000
