About the Role

We are seeking a highly skilled and compassionate Client Services Coordinator to join our team at Community Medical Services. As a key member of our staff, you will be responsible for providing exceptional customer service to our clients and ensuring a smooth and efficient experience for all visitors to our clinic.

Key Responsibilities
  • Greet and attend to clients in person and over the phone, providing a warm and welcoming atmosphere.
  • Manage the patient flow of a high volume of clients in a fast-paced environment, ensuring timely and efficient service.
  • Coordinate intakes on a walk-in basis, including assisting clients with completion of required documentation and scheduling with an available provider and counselor.
  • Verify insurance eligibility through various insurance portals and set up billing episodes in our electronic health record.
  • Establish client payment plans and financial contracts, collect and post payments, and ensure confidentiality of all client and employee information.
  • Assist in the de-escalation of clients using a trauma-informed approach and triage client issues to secure the most appropriate solution.
  • Introduce clients to our Recovery Connect engagement app and help them navigate it as needed.
  • Complete end of day tasks, including reconciling deposit and payment records, and verify cash in the cash box at the beginning of shift and reconcile cash count at the end of the day.
  • Use appropriate incident reporting procedures when documenting unsafe or problematic incidents involving clients, clients and/or staff.
  • Participate in in-service/education regarding Quality Improvement or required job-focused education.
  • Help maintain inventory and assist in ordering clinic supplies, and perform general office duties such as document preparation, scanning, and faxing.
Requirements
  • High School Diploma/GED
  • 1+ years of experience in customer service
  • 1+ years of front desk experience, preferably at a hospital front desk or multi-physician practice
  • Ability to communicate clearly and effectively between all organizational levels and with outside providers
  • Basic computer knowledge, including ability to navigate in electronic health records
  • Culturally competent and sensitive to client and employee needs
  • Demonstrated ability in medication administration accuracy and ability to maintain accurate client records
  • Excellent organizational skills, accuracy, and attention to detail
  • Problem solving, conflict resolution, time management, and strong customer service skills
  • Strong team player comfortable working in a fast-paced setting
  • Ability to maintain confidentiality to ensure compliance with HIPAA and 42 CFR
  • Flexible with the ability to work in a continuously changing environment
  • Ability to work flexible hours including nights, weekends, and holidays
Working Conditions

Prolonged sitting, standing, frequent bending, stooping, or stretching associated with an office environment. Frequent and prolonged typing and operation of computer, keyboard, and telephones. Some lifting may be required: Employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds.
