Job Summary

The Personal Injury Paralegal/Litigation Secretary will provide administrative support to the Personal Injury attorney and collaborate with other department members to manage litigation matters. Key responsibilities include:

  • Managing approximately 50 to 75 litigation matters with the assistance of the assigned pod leader and Firm support staff;
  • Communicating with clients regarding case status and preparation;
  • Preparing documents for filing with the appropriate court or government office;
  • Creating and maintaining litigation files for each matter;
  • Propounding and responding to written discovery;
  • Assisting in gathering documents and evidence from clients throughout the discovery phase and course of litigation;
  • Reviewing, indexing, organizing, and summarizing documents produced by other parties and medical healthcare providers;
  • Managing the attorney's calendar and scheduling related litigation dates;
  • Ensuring that all court appearances are covered by the assigned attorney, court call, or a covering attorney service;
  • Drafting legal documents such as deposition notices for attorney review and service on opposing counsel and parties;
  • Scheduling interpreters for depositions, IMEs, and court hearings;
  • Coordinating and scheduling depositions and mediations;
  • Tracking and monitoring pending attorney tasks;
  • Reviewing deposition transcripts with clients;
  • Assisting in trial preparation, including preparing trial documents, exhibits, and binders;
  • Communicating with medical and legal experts throughout litigation to assist in maintaining and coordinating expert deposition documents and availability;
  • Performing legal research and writing;
  • Drafting and editing memoranda, correspondence, pleadings, charts, and tables using appropriate software applications;
  • Scheduling appointments, setting up conference calls, arranging meetings, scheduling conference rooms, and making travel arrangements using Firm applications and resources;
  • Faxing, photocopying, scanning, and converting or exporting/importing documents to/from other applications;
  • Maintaining electronic and hardcopy files in accordance with the Firm's policies and procedures;
  • Processing attorney weekly time summaries, reviewing billing, and preparing monthly invoices;
  • Opening and sorting incoming litigation mail;
  • Performing other duties as assigned by Management and/or Pod Leaders.

Requirements:

  • Possess a working knowledge of all phases of litigation;
  • Minimum 3-5 years' experience working in a law firm;
  • Familiarity with Microsoft Office Suite and other applications and/or systems;
  • Professional appearance and attitude;
  • Excellent written and verbal communication skills;
  • Bilingual, fluent in English and Spanish, is required as over 90% of the Firm's clientele are Spanish speaking.
