Job Summary

The Lead Medical Office Assistant will be responsible for orienting and training staff in front and back office processes and procedures, including technical and clinical aspects of the ambulatory laboratory, immunizations, and patient care. This role will supervise the Medical Assistant (MA) monthly schedule, identify MA staffing needs, and make necessary contacts to meet clinical needs.

Key Responsibilities
  • Orient and train staff in front and back office processes and procedures
  • Supervise the Medical Assistant (MA) monthly schedule
  • Identify MA staffing needs and make necessary contacts to meet clinical needs
  • Report to management any MA needs or issues related to patient care, scheduling, or other areas related to the site
  • Offer support for office software system and computerized health record for staff as required
  • Perform a variety of support duties, including receptionist, telephone, scheduling, data input, supply ordering, and supply inventory
  • Under the direction of a physician or clinician, perform a variety of duties in connection with examination and treatment of patients in an occupational/community healthcare clinic setting
  • Serve as a backup for medical assistants as needed
  • Serve as a teacher, trainer, and mentor for new staff
  • Orient staff in front office processes, use of office software/information systems, and laboratory processes
  • Train and orient Medical Office Assistants in back office procedures and duties
  • Monitor front and back office to assure standardization and adherence to processes and procedures
  • Manage MA work schedules, perform regular evaluation of supply usage and costs, and notify management when significant cost savings methods are identified
  • Responsible for the oversight of expired medication logs and supply ordering
Requirements
  • High School Diploma or GED required
  • Completion of a MA training program required
  • 1 year related experience required
  • Certified or Registered Medical Assistant or completion of an approved training program or completion of an unapproved training program and successfully passes the medical assistant examination administered by a certifying organization accredited by either the National Commission for Certifying Agencies or the American National Standards Institute as described by the Arizona Administrative Code (Chapter 16 – Arizona Medical Board - R and R) or completes a United States Armed Forces medical services training program required
  • Fingerprint Clearance Card - State current Fingerprint Clearance card, or within seven (7) working days after employment shall apply and be eligible for a Fingerprint Clearance Card (Pediatric Behavioral Health Sites ONLY) required
  • Basic Life Support (BLS) required
