As the Human Resources and Operations Lead, you will become an integral part of our dynamic global team, collaborating closely with Talent Acquisition, Legal, and Finance departments, while reporting directly to the Chief Operating Officer (COO). Your responsibilities will encompass both business operations oversight and HR functions. You will be tasked with managing payroll processes and providing vital HR administrative support to our team members. Furthermore, you will enhance and optimize personnel processes to ensure compliance with legal standards, promote an outstanding employee experience, and strengthen a positive company culture. A key component of your role will involve delivering accurate reporting and analysis of employee data, with a primary focus on our U.S. operations while also engaging in global initiatives.

Key Responsibilities
  • Oversee and manage monthly payroll operations for the U.S. division, addressing all aspects of the employee lifecycle, including payroll registration, updates to personal and employment information, and management of time off and absences.
  • Act as the main point of contact for U.S.-based employees regarding HR and business operational inquiries, including employee benefits.
  • Lead projects related to people and business operations, aiming for process improvements and the integration of automation, such as onboarding facilitation, maintaining employee records, supporting ESG shareholder reporting, and managing contracts and amendments.
  • Ensure continuous enhancement of our HRIS (Personio) features and business operation systems.
  • Support the daily operations of the People and Business Operations Departments and assist the Vice President of U.S. Operations in achieving the objectives of the U.S. subsidiary.
  • Develop and update HR policies, procedures, and operational guidelines.
  • Regularly monitor changes in U.S. legislation to ensure compliance with GDPR, labor laws, and business regulations.
  • Evaluate and monitor working conditions, employee well-being, engagement, and turnover rates, focusing on their impact on the business.
  • Take leadership roles in local projects and initiatives related to People, Culture, and Business Operations.
  • Assist in the recruitment process for interns and business operations personnel.
Qualifications
  • A minimum of 2 years of experience in an HR/People Operations Manager, Administrator, Generalist, or Business Operations role within a U.S. organization.
  • Expertise in managing and coordinating monthly payroll operations across the U.S.
  • Comprehensive understanding of U.S. labor laws, taxation, and social security systems, particularly in relation to payroll and business operations.
  • Demonstrated experience in visa and work permit administration, especially within the U.S.
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with business operation tools.
  • Experience with Personio or other HRIS, as well as business operations systems, is highly beneficial.
  • Fluency in English with strong communication skills; proficiency in French, German, or Italian is an advantage.
