Key Responsibilities

Position Description

This role encompasses operational functions in one or more of the following areas: managing high-volume duplicating machinery, executing related copying tasks, and handling high-volume document imaging equipment along with associated software.

Additionally, the role includes managing high-volume mail systems.

Responsibilities also involve generating reports for digital printing, imaging, and mail systems in digital formats.

Tasks include shipping and receiving products and supplies, sorting, distributing, and managing incoming and outgoing mail/faxes, as well as applying necessary postage.

Maintenance and repair of customer site equipment are also part of the duties.

Other responsibilities may include bindery work, quality control, final checks, housekeeping, file services, call center duties, and reception tasks.

Employees performing receptionist duties are classified as Senior On-Site Services Specialists due to the advanced presentation and communication skills required.

This position reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on the site structure.

Job Duties and Responsibilities

Operate high-volume copy machines and perform binding and finishing tasks.

Manage high-volume document imaging systems.

Utilize document image handling software.

Use MS Office and email systems for file management.

Open, save, and transfer PC files according to established protocols.

Access document management systems following set guidelines.

Ensure convenience copiers are functioning correctly through daily inspections.

Resolve paper jams and report specific issues to technicians.

Maintain records for management reports and inventory of supplies.

Distribute office supplies, fax transmissions, and mail to designated personnel or drop-off points.

Calculate job charges and maintain billing logs.

Respond to and coordinate all service requests from customers.

May assist with filing duties as per customer requests.

Deliver completed jobs to specified customer locations.

Maintain daily meter and service logs.

May require travel between customer facilities.

Address customer inquiries regarding job status or feasibility.

Ensure the upkeep of convenience copier areas by maintaining cleanliness and stock levels.

Handle shipping and receiving duties for materials.

May assist with meeting room setups and light maintenance tasks.

Occasional cleaning duties may be required.

Periodic overtime may be necessary, including emergency responses outside regular hours.

Utilize various office and bindery equipment to complete assigned tasks.

Perform filing duties, including archiving old documents.

Complete other assigned tasks as needed.

Minimum Qualifications

Education and Experience

A high school diploma or GED is typically required, along with 1-2 years of relevant experience or equivalent experience in a related field.

Previous experience in a copy-related role is preferred.

A valid driver's license and minimum levels of auto insurance coverage may be required per client policy.

Knowledge, Skills, and Abilities

Strong customer service skills.

Proficient PC skills.

Excellent organizational skills with the ability to prioritize tasks.

Mathematical and filing capabilities.

Ability to operate office machines and technical equipment.

Working Conditions and Physical Demands

This position typically operates in an office environment with adequate lighting, ventilation, and a normal range of temperature and noise levels.

Work assignments are varied, requiring the interpretation and application of complex materials and instructions.

Some physical effort is necessary, which may involve prolonged periods of standing, walking, bending, reaching, stretching, and lifting or moving items weighing up to 50-55 lbs. Tasks may also involve pushing or pulling heavy equipment.

Moderate dexterity is required for regular use of basic skills such as operating a calculator, keyboard, and hand tools.
