Job Title: Administrative Associate

We are seeking an experienced Administrative Associate to join our team at the City of New York. As an Administrative Associate, you will provide administrative support to our staff, ensuring the smooth operation of our office.

Key Responsibilities:
  • Provide direct clerical and administrative support, including scheduling meetings and interviews, conference room reservations, front desk reception, filing, and maintenance of office supplies.
  • Coordinate and streamline administrative logistics and support for Procurement, Operations, and facility needs, IT requests, HR/onboarding support, contractual needs, and storehouse orders.
  • Foster and maintain the common office space and equipment used by the team, including conference rooms and printers/copy machines.
  • Responsible for submission of tickets and communication of technical issues for IT and telecommunication needs.
  • Support organizational trainings and meetings, including preparing documents and handouts, creating sign-in sheets, and handling logistics for events and training.
  • Maintain an internal office supply system, including placing orders for office supplies, receiving, unpacking, and tracking inventory.
Requirements:
  • A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty.
  • An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience, including one year of administrative supervisory experience.
  • A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience, including one year of administrative supervisory experience.
