Job Summary

We are seeking a highly skilled Payroll/Accounting Associate to join our team at Wilson School District. As a key member of our Business Department, you will play a critical role in ensuring the accuracy and efficiency of our payroll processes.

Key Responsibilities
  • Process payroll according to USFR and State guidelines, ensuring compliance and accuracy.
  • Manage electronic payroll processing on the School ERP Pro system, working closely with the Maricopa County School Superintendents Office.
  • Enter contracts, pay schedules, and calendars into the payroll system, ensuring timely and accurate processing.
  • Perform electronic processing of time/attendance on the Time Clock Plus system, maintaining accurate records and ensuring compliance.
  • Ensure all source documents and payroll procedures are completed in a timely manner, maintaining accurate and efficient record-keeping processes.
  • Work with personnel to ensure new employee information packets are completed, ensuring seamless onboarding.
  • Process employee payroll deductions for TSA's, dependent insurance, NEA/AEA dues, Credit Union, and other authorized deductions, making biweekly deposits to each appropriate bank account.
  • Maintain accurate banking records for all related bank accounts, ensuring transparency and accountability.
  • Set up employee payroll folders and maintain accurate information, performing data entry on new employees.
  • Review timecard plus for absences, tardiness, and verify docks for upcoming payroll, maintaining accurate attendance records and processing AESOP.
  • Assist district staff in ensuring the processing and reporting of the Alternative Contribution Rate (ACR) is completed accurately and timely.
  • Ensure electronic tax deposits are timely processed and assist with completing federal and state quarterly tax reports, as well as reviewing and distributing W2 information at year-end.
  • Complete wage information forms from other agencies, such as mortgage companies, DES, AHCCS, Social Security, rental firms, and retirement systems.
  • Maintain current knowledge of legal and business practices by attending meetings and memberships in related organizations.
  • Assist with journal entries/requisitions and maintain fiscal and financial related records and files in accordance with policies.
  • Provide transparent updates to the Human Resources Director and Executive Director Business Services on various tasks, ensuring accurate information is maintained.
  • Perform other duties as needed in the office, such as phone answering, filing documentation, preparing outgoing mail, greeting the public, and miscellaneous supply ordering and reconciliations.
  • Participate in professional development and continuous enhancement of roles and responsibilities.
Requirements
  • Associate degree or equivalent experience in accounting or a related field.
  • 3+ years of experience in USFR and AZ K-12 bookkeeping and/or accounting.
  • Knowledge of TPC, AESOP, and School ERP Pro systems.
Preferred Qualifications
  • Bachelor's degree in business, finance, or administration.
  • 7+ years of experience in AZ K-12 bookkeeping and/or accounting and USFR knowledge.
  • Experience with QuickBooks systems.
Knowledge, Skills, and Abilities
  • Knowledge of basic activities pertaining to daily payroll functions for Arizona K-12.
  • Training and experience in electronic payroll processing practices and procedures.
  • Laws and regulations pertaining to accounting operations and USFR guidelines.
  • Bookkeeping regarding payroll processes.
  • Skilled in mathematics, analytical thinking, typing skills, and usage of 10-key adding machine and keyboard.
  • Maintaining accurate, efficient record-keeping processes.
  • Critical thinking and problem-solving.
  • Written and verbal communication.
  • Ability to establish and maintain effective working relationships with co-workers and associates.
  • Crosstrain in other financial areas to support the district office with roles and responsibilities.

We are a Pre-K through 8th grade school district in Phoenix, Arizona, established as the seventh school district organized in Maricopa County in 1879 and named for Mr. W. J. Wilson, a school board member. The district name was changed in the mid-1930's to Hawkins School. From Wilson to Hawkins to Ward to Skiff, the District was bought by Phoenix Sky Harbor International Airport and relocated to its current location in the early 1980's and named Wilson Primary and Wilson Elementary, opening on Martin Luther King Day in 1985. The district boundaries cover an area from Roosevelt Street to the north; the Salt River to the south; 40th Street to the east; and 16th Street to the west.
