Position Summary
The full-time Operations Coordinator will enhance communication and synchronize efforts among technicians, warehouse personnel, volunteers, and various community-focused groups to ensure that organizational objectives and standards are consistently achieved. An effective Operations Coordinator should be capable of ensuring streamlined and cost-efficient operations.
The primary aim of the Operations Coordinator role is to optimize efficiency while delivering products and services that satisfactorily meet customer requirements, as well as to lead a productive operation that consistently adheres to certification standards for R2 and NAID. This role also involves ensuring that current inventory is managed and distributed to appropriate sales channels promptly to meet or surpass profit and loss targets.
Key Responsibilities
Core Duties
- Rapidly familiarize oneself with the standard operating procedures in place across all locations and ensure the effective execution of our business model.
- Develop a foundational understanding of personal computing technology and assist employees and stakeholders in leveraging this knowledge to produce high-quality, reliable products.
- Gain a basic understanding of facility management and aid employees and stakeholders in utilizing this knowledge for enhanced efficiency and effectiveness.
- Support fellow managers in fostering a strong sense of teamwork among employees and volunteers.
- Assist in the implementation of new processes, systems, and technologies.
Production Management
- Oversee the setup and smooth administration of the intake, warehousing, and refurbishment of devices.
- Lead the establishment of the physical workspace, ensuring that conveyor systems, tech stations, testing stations, and inventory tracking systems are properly set up and operational.
Order Management
- Monitor inventory levels to guarantee adequate supplies of equipment for daily distribution, events, and special orders, including desktops, laptops, monitors, and accessories. Notify management if inventory levels are either too low or excessively high.
- Daily Stock – Ensure that sufficient desktop and laptop computers are available in every pricing category to meet daily demand.
- Events – Collaborate with Community Impact Leads to ensure all necessary equipment for events is refurbished, packed, loaded, and delivered as scheduled.
- Special Orders – Ensure that all equipment required for special orders and distribution partners is refurbished, packed, loaded, and delivered (when applicable) to our partners.
Material Management
- Assist warehouse staff in maintaining an organized warehouse space.
- Ensure that all NAID-classified equipment is handled, processed, and reported in compliance with organizational policies.
- Support the Account Manager with recycling pickups from vendors.
- Ensure accurate tracking of inventory quantities.
Volunteer and Group Management
- Maintain a schedule for volunteers and community-based workgroups.
- Train volunteers and other workers on relevant skills and tasks.
- Ensure that all staff provide guidance and answer questions from volunteers and workgroups.
- Track the output and goals of volunteers and workgroups.
- Conduct quality assurance checks on all work performed by non-staff workers.
Compliance and Maintenance
- Create and adhere to a building maintenance schedule.
- Ensure full compliance with NAID and R2 certification standards.
- Promote and encourage safety practices among all staff.
Performance Oversight
- Regularly meet with staff to discuss progress and assist in developing individual and departmental goals.
- Delegate tasks to staff, volunteers, and workgroups as necessary.
- Continuously refine processes and help develop policies that enhance outcomes for staff, clients, and partners.
Qualifications
- Bachelor's degree or higher.
- 5+ years of relevant operations experience.
- Entrepreneurial spirit and a desire to contribute to a new office environment.
- Adaptable and innovative; capable of quickly developing and implementing solutions.
- Previous experience with P&L management.
- Proven technical and operational skills to implement and adapt the organizational model.
- Demonstrated project management capabilities.
- Experience in management and team-building.
- Excellent organizational skills.
- Strong written and verbal communication skills; exceptional interpersonal abilities.
- Self-directed, self-motivated, and a strong analytical thinker.
- Must be able to obtain a DOT Card.
