Maverick Payments is a privately owned, full-service payment solutions provider based in California. Position Responsibilities:
  • Deliver extensive administrative assistance to the executive team, which includes managing schedules, organizing appointments, personal tasks, and travel arrangements.
  • Facilitate meetings, conferences, and special events by preparing agendas, documenting minutes, and assembling necessary materials.
  • Manage correspondence, phone communications, and emails on behalf of executives, ensuring timely and professional responses.
  • Draft and refine documents, presentations, memos, and reports for both internal and external audiences.
  • Oversee the expense reporting and reimbursement processes for executives, collaborating with the accounting team for invoice management.
  • Conduct research and compile information as requested by executives to aid in decision-making and project execution.
  • Uphold confidentiality and manage sensitive information with the utmost professionalism.
  • Anticipate executive needs and proactively address potential issues or concerns.
  • Assist in organizing monthly team lunches and annual company events, manage parking arrangements, and coordinate in-office meetings with external partners.
  • Support special projects and additional tasks as assigned by executives.
  • Occasionally travel locally to complete errands and tasks.
Qualifications:
  • High school diploma or equivalent required.
  • A minimum of 2 years of proven experience in an executive assistant role or similar, ideally supporting C-level executives.
  • A bachelor's degree in business administration, communications, or a related field is preferred.
  • Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Exceptional organizational and time management abilities, with a knack for prioritizing tasks and meeting deadlines.
  • Strong interpersonal skills to effectively engage with individuals at all organizational levels.
  • Capacity to exercise independent judgment, initiative, resourcefulness, and discretion in decision-making.
  • Aptitude for identifying, analyzing, and resolving issues, with a focus on improving workflow and process efficiency.
  • Outstanding written and verbal communication skills, with a meticulous attention to detail.
  • Ability to maintain professionalism in high-pressure situations, ensuring discretion and confidentiality with sensitive information.
  • Demonstrated ability to anticipate executive needs and respond promptly to correspondence or follow-up tasks.
  • Strong analytical and research skills with a keen eye for detail.
  • Capability to work independently while delivering high-quality output.
  • Valid driver's license required.
  • This position requires on-site work.
