POSITION SUMMARY:

The Site Coordinator Supervisor is responsible for planning, organizing, directing, monitoring, and overseeing the daily operations of the site coordinators, both on-site and remotely. This role ensures that the billing office receives batches of records in accordance with established deadlines. In situations of staffing shortages or backlogs, the Supervisor must facilitate workflow to meet monthly closing targets.

The Supervisor is tasked with ensuring that all missing and incomplete records from each facility are retrieved in line with established protocols. To maintain an efficient workflow, the Supervisor fosters positive relationships with hospital administration, medical records directors, nursing management, IT departments, and facility medical directors. Feedback regarding trends in incomplete or missing records will be communicated to the appropriate parties, following the established chain of command to escalate issues as necessary.

The Site Coordinator Supervisor will also lead new contract initiation meetings and oversee comprehensive training for Site Coordinators, which includes daily batching processes, IMBills training, core measure tracking, incentive tracking, performance monitoring, and site audits as mandated by TeamHealth. Additionally, training for new providers or contracts will be conducted as required.

KEY RESPONSIBILITIES:

  • Recruit, interview, and onboard candidates for site coordinator roles at various locations.
  • Ensure compliance with daily batching requirements as outlined in the site coordinator manual.
  • Review and approve staff requests for paid time off based on operational needs.
  • Maintain discipline among site coordinator staff by implementing policies and initiating disciplinary actions when necessary.
  • Provide training to both new and existing staff on batching, record retrieval, and IMBills processes.
  • Prepare regular departmental progress reports, detailing workflow, trends, and record retrieval metrics.
  • Ensure accuracy in batch work and reports submitted to management.
  • Conduct quarterly audits of batch processes and site coordinator performance.
  • Facilitate effective communication with the Site Coordinator Director regarding identified issues.
  • Plan staffing needs in alignment with the annual departmental budget.
  • Perform additional tasks and responsibilities as assigned by the Director.

QUALIFICATIONS:

  • A bachelor's or associate's degree is preferred, along with a minimum of 3 years of experience in a supervisory role within a related field.
  • Alternatively, a combination of formal training and relevant experience may be considered.
  • A total of five years of work experience, including at least two years in a supervisory capacity in medical billing.
  • Proven ability to build and maintain positive relationships with hospital staff and management.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Knowledge of medical billing processes is essential.
  • Ability to work independently while supervising a diverse team across various locations.
  • Proficient computer skills, including experience with spreadsheets and word processing.
  • Willingness to travel as needed to various facilities.

SUPERVISORY ROLE:

  • Oversees the activities of THHM site coordinators.

WORK ENVIRONMENT:

  • Primarily operates within a modern healthcare facility.
  • May experience moderate to high stress levels.
  • Involves occasional physical activities such as lifting, bending, and prolonged sitting.
  • May require work during evenings and weekends as necessary.

This position necessitates proficiency in various office technologies and may require physical and mental stamina to manage workload effectively.
