Position Summary:

We are seeking a Sales Support Specialist/Apartment Concierge to enhance our Sales team at The Hoxton, Downtown LA. This role is essential in ensuring the success of our vibrant property by assisting in sales administration, hosting apartment guests, and guaranteeing an outstanding experience for our clients. The position reports directly to the Director of Sales.

Key Responsibilities:
  • Develop and maintain company and contact profiles within our CRM system.
  • Create promotional materials and update sales resources.
  • Assist with phone coverage and support client tours and entertainment.
  • Evaluate group leads and communicate details effectively to the Director of Sales.
  • Manage sales reservation inquiries.
  • Facilitate VIP guest room allocations and special amenities.
  • Process housekeeping and maintenance requests.
  • Maintain databases and conduct research as needed.
  • Order and manage supplies for the Apartment pantry.
  • Oversee the inventory of Apartment stationery.
  • Develop and refine Sales and Apartment standard operating procedures.
  • Welcome Apartment guests and serve as the primary contact for meetings.
  • Ensure the Apartment is consistently presentable and ready for guests.
  • Utilize our property management systems and collaborate with partners to manage rates.
  • Achieve designated goals and key performance objectives.
  • Create group booking links and maintain group records.
  • Coordinate with the Front Desk on group check-ins and operational logistics.
  • Prepare proposals, contracts, and manage financial transactions.
  • Communicate with clients regarding final arrangements and billing.
  • Coordinate commission payments with the Finance team.
  • Collaborate with our food and beverage partners for group meal orders.
