Job Summary

Key Responsibilities
  1. Recruitment Support
  • Coordinate the posting of job openings on various platforms and maintain accurate records of job postings.
  • Screen resumes and applications, and schedule interviews with candidates and hiring managers.
  • Assist in creating and updating job descriptions and job postings to ensure compliance with company policies and legal requirements.
  • Manage applicant tracking systems and ensure timely processing of applications.
  1. Onboarding and Offboarding
  • Facilitate the onboarding process for new hires, including preparation of orientation materials and scheduling introductory meetings.
  • Conduct new employee orientations, ensuring new hires understand company policies, procedures, and benefits.
  • Coordinate with various departments to ensure all necessary equipment and resources are provided to new employees.
  • Track and manage onboarding documentation, including employment agreements and compliance forms.
  1. Offboarding Process
  • Oversee the offboarding process for departing employees, including exit interviews, return of company property, and deactivation of access.
  • Ensure accurate and timely processing of final pay, benefits, and other separation details.
  • Maintain accurate records of employee departures and ensure compliance with company policies and legal requirements.
  1. Benefits Administration
  • Assist employees with selecting benefits choices and navigating the enrollment process.
  • Audit records to ensure accurate employee deductions.
  1. Administrative Support
  • Provide administrative support to the VP of Administration, including calendar management, meeting coordination, and correspondence.
  • Assist with the preparation of reports, presentations, and other documentation as needed.
  • Manage and prioritize administrative tasks to ensure efficient workflow and timely completion of assignments.
  • Coordinate and schedule meetings, conferences, and events as required.
  1. General Human Resources Support
  • Assist in maintaining and updating employee records and Human Resources databases and electronic employee files.
  • Help with Human Resources-related inquiries and provide support to employees regarding company policies and procedures.
  • Contribute to the development and implementation of Human Resources policies and procedures.

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent work experience.
  • Experience in higher education institutions desirable.
  • Proven experience in Human Resources or administrative support roles, preferably with exposure to recruiting, onboarding, and offboarding processes.
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Excellent communication and interpersonal skills.
  • Expert in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Human Resources software and applicant tracking systems.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Strong problem-solving skills and a proactive approach to tasks and challenges.
