Job Summary:
Varnum LLP, a Michigan-based law firm with over 175 attorneys and seven offices, is seeking an experienced Legal Secretary to support our corporate practice team in Birmingham. This full-time role involves working independently and collaboratively as part of a team to provide exceptional client service.

About the Role:
This position requires strong organizational and multitasking skills, excellent communication abilities, and a keen attention to detail. The successful candidate will be responsible for editing, formatting, and comparing lengthy legal documents, handling closing preparations, and transcribing documents from dictation. Additionally, they will assist with document management, drafting correspondence, memos, briefs, and other legal documents in proper form.

Responsibilities:
* Participate on a client-focused team displaying professionalism and excellent communication skills
* Edit, format, and compare lengthy legal documents and handle closing preparations
* Assist with document management, drafting correspondence, memos, briefs, and other legal documents in proper form
* Transcribe documents from dictation and proofread and edit all documents to ensure accuracy and professional appearance
* Answer telephone calls, forward messages, and answer non-legal questions
* Receive, read, and route incoming postal mail
* Arrange for the delivery of documents and projects via courier runs, hand-deliveries, and express mail services
* Maintain attorney calendars and deadline reminders
* Enter and proofread time in the billing system
* Open new files, perform conflict of interest checks, and maintain electronic and physical client and general files in a neat and orderly condition
* Schedule appointments, conference calls, travel coordination, and prepare necessary documents and copies for meetings and closings
* Request checks for filing fees and attorneys' business expense reimbursements
* Assist with legal assistant work overflow or absence coverage as needed
* Attend staff meetings, training sessions, and other required employee meetings

Qualifications & Requirements:
* Completion of high school
* Two to three years of experience in a law firm or similar environment, preferably as a legal secretary
* Proficient in MS Office Suite and legal document management software
* Excellent proofreading skills and ability to transcribe documents at 30 wpm or higher
* Exceptional organizational and multitasking abilities to meet deadlines and manage competing priorities
* Professional demeanor and ability to work well in a team-oriented environment
* Ability to communicate and follow instructions effectively from a diverse group of attorneys and staff

Estimated Salary: $45,000 - $60,000 per year, depending on experience.
