About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at the Secretary of State's Business Programs Division. In this role, you will provide administrative support to our section, including processing personnel records, preparing supply and equipment orders, and maintaining inventories.

Key Responsibilities

Administrative Support

• Process and maintain personnel attendance and other related personnel records.

• Prepare, process, and track work orders, requests, and office machine maintenance/repairs.

• Prepare supply and equipment orders and maintain inventories of supplies and equipment.

Communication and Liaison

• Act as liaison to the Information Technology Division and Business Operations.

• Act as an Office Automation Division Coordinator for the section.

• Answer, screen, and route telephone calls received in the administrative area for the section Manager, Analysts, and other administrative staff.

Additional Responsibilities

• Provide general administrative support to the Business Programs Division.

• Act as a backup to other Office Technicians, as needed.

Requirements

• Good understanding of organizational techniques and time management skills.

• Ability to handle sensitive and confidential assignments with tact and diplomacy.

• Ability to interact and communicate effectively with all levels of departmental staff and the public.

• Punctuality and dependable attendance.

• Ability to operate various office machines.

Preferred Qualifications

• Knowledge of and experience with all Microsoft Office applications and Visio.
