Position Overview:


The Accounting Specialist is tasked with managing a variety of financial and administrative responsibilities associated with the smooth operation of accounts payable functions and supporting general accounting activities.

This position entails maintaining precise records, ensuring timely processing of all invoices and payments, assisting with month-end financial closings, and providing support to the finance team with diverse accounting responsibilities.


Primary Responsibilities:

Invoice Management:
Examine and validate invoices and payment requests.

Classify, code, and reconcile invoices.

Prepare invoices for payment processing.

Input and upload invoices into the financial system.

Monitor expenses and manage expense reports.

Payment Processing:
Facilitate and execute electronic payments and transfers.

Conduct check runs and prepare checks.

Record transactions in journals, ledgers, and other financial records.

Reconcile accounts payable transactions.

Vendor Relations:
Oversee accounts to ensure timely payments.

Investigate and resolve discrepancies related to invoices.

Maintain comprehensive vendor records.

Communicate with vendors and address inquiries.

Documentation and Reporting:
Generate monthly financial reports.

Assist in month-end financial closing activities.

Provide necessary documentation for audits.

Ensure accurate maintenance of historical records.

Support in General Accounting:
Assist with account reconciliations.

Support general ledger functions and month-end closing processes.

Regulatory Compliance:
Ensure adherence to company policies and procedures.

Assist in establishing and maintaining internal controls.

Process Improvement:
Identify areas for enhancement in processes.

Engage in special projects as needed.

Work Environment:
Full-time role.

Office-based setting.

May require occasional overtime during busy periods.

Qualifications

Education:
Associate's degree in Accounting, Finance, or a related discipline. A Bachelor's degree is preferred.

Experience:
Minimum of 2-3 years in an accounts payable or general accounting capacity.

Skills:
In-depth knowledge of accounts payable procedures.

Proficiency in accounting software and Microsoft Office Suite, particularly Excel.

Exceptional organizational and time management abilities.

Strong attention to detail and accuracy.

Effective communication and interpersonal skills.
