Our courts and probation departments strive for impartial and prompt resolution of disputes, providing support to families, litigants, and victims, promoting client rehabilitation, and fostering meaningful community involvement.
POSITION SUMMARY
This role provides specialized administrative, technical, and analytical assistance to a division within the State Court Administrator's Office (SCAO) and its director, facilitating the efficient operation of the unit. Responsibilities include ensuring that work products align with the policies, procedures, and regulations of the Judicial Department, as well as the director's responsibilities and priorities.
The position focuses on a variety of tasks, including legal administrative duties, communication writing and editing, meeting organization, budget management, and employee onboarding/offboarding. Given the sensitive nature of the work, strict confidentiality is paramount. Candidates should possess strong organizational skills, adaptability, and a sense of humor, while embodying the organization's values. Proficiency in Microsoft Excel, Outlook, Word, and PowerPoint is preferred, with initial work primarily conducted on-site.
KEY RESPONSIBILITIES
- Provide specialized administrative and technical support to ensure the effective functioning of the SCAO.
- Ensure compliance of work outputs with Judicial Department policies and analyze data for reporting purposes.
- Manage the director's calendar and coordinate logistics for travel, meetings, and training sessions.
- Address and resolve multiple email inquiries requiring prompt attention.
- Assist in budget development by gathering information from various operational areas and monitoring expenditures.
- Identify office supply and equipment needs, making recommendations as necessary.
- Organize meeting logistics, including minute-taking, catering coordination, and room setup.
- Participate in committees that foster employee engagement and collaboration.
- Support onboarding and offboarding processes, including job requisition development and interview management.
- Maintain and update Judicial Resource Manual documents and other data retention tools.
- Perform additional duties as assigned.
SUPERVISORY RESPONSIBILITIES
This position may involve providing guidance and oversight to other employees, ensuring quality of work and training as necessary.
KNOWLEDGE & SKILLS
Advanced skills and extensive knowledge of administrative functions are required, with the ability to handle complex tasks and provide technical expertise recognized within the organization.
WORK ENVIRONMENT
The role is primarily sedentary, involving minimal physical exertion, and is performed in a standard office environment.
