Position Overview

The Client Support Specialist is responsible for facilitating the onboarding of new clients. This role involves registering clients, gathering essential insurance details, and inputting information into the Electronic Health Record (EHR) system. The Specialist will receive comprehensive training to operate across various locations, handling administrative tasks, scheduling, and providing backup support as required.

Key Responsibilities

  • Provide administrative assistance to outpatient healthcare providers and psychiatric teams.
  • Engage with clients, staff, and referral sources in a courteous and professional manner, assessing needs and prioritizing calls as necessary.
  • Verify insurance coverage for each client during appointments through eligibility checks and direct communication with insurance providers.
  • Collect copayments and outstanding balances during client check-ins, ensuring timely reconciliation and submission to billing.
  • Create and maintain client records, ensuring all demographic and insurance information is accurately documented.
  • Review and finalize necessary documentation, including consent forms, prior to client intake.
  • Notify clinicians when clients are prepared for their sessions and manage room assignments.
  • Accurately enter data for ongoing reporting purposes.
  • Adapt to cross-training opportunities within the organization to meet departmental needs.
  • Process incoming communications, including faxes and mail.
  • Schedule appointments across various disciplines, including medical, dental, and behavioral health services.
  • Produce and distribute professional documents to clients, referral sources, and healthcare providers.
  • Conduct confirmation calls and manage appointment cancellations according to established protocols.
  • Monitor and order office and clinical supplies as necessary.
  • Maintain up-to-date records and reports, ensuring compliance with quality assurance standards.
  • Engage in ongoing training and professional development to enhance skills and knowledge relevant to the role.
  • Develop an understanding of the cultural backgrounds of the populations served, applying appropriate methodologies in service delivery.

Qualifications

A high school diploma is required, along with a minimum of one year of relevant work experience. Proficiency in Microsoft Office and familiarity with office equipment is preferred.
