Nighttime Guest Services Coordinator

As a Nighttime Guest Services Coordinator, you will be tasked with fulfilling the roles of both Guest Service Representative and Accounting responsibilities. This position involves overseeing the auditing, posting, and balancing of daily financial transactions to support the hotel's commitment to exceptional guest service and financial success.

By reconciling daily revenues and expenses, you will ensure that guests receive accurate billing and that credit card transactions are properly recorded. Additionally, you will be responsible for welcoming, registering, and checking out guests, all while upholding the hotel's dedication to outstanding service and profitability.

Key Responsibilities
  • Conduct audits, postings, and balance daily cashier operations for the hotel.
  • Ensure all account entries are balanced; document and resolve any discrepancies found during audits to accurately settle guest accounts.
  • Verify that the credit card system aligns with daily transaction records.
  • Confirm cash postings and validate cashier drops for accuracy.
  • Organize and compile daily hotel turnover and associated paperwork as directed by management.
  • Greet all guests in a courteous and professional manner.
  • Complete guest registration and check-out processes efficiently.
  • Handle telephone inquiries, transfer calls, and take messages as needed.
  • Manage hotel reservations for guests, including modifications and cancellations.
  • Maintain an accurate cash bank during shifts and utilize correct vouchers for specified transactions.
  • Respond promptly to all guest needs and requests.
  • Follow up to ensure guest requests are addressed satisfactorily.
  • Possess knowledge of the local area and attractions.
  • File necessary paperwork as instructed.
  • Ensure the front desk is well-stocked with supplies.
  • Understand hotel emergency procedures and evacuation protocols.
  • Collect payments from guests during check-in and check-out, making changes as required.
  • Keep the Front Office and Lobby areas clean, organized, and presentable.
  • Adhere to all company safety and security policies; report any accidents, injuries, or unsafe conditions to management.
  • Maintain a professional appearance and uniform.
  • Protect the confidentiality of proprietary information and safeguard company assets.
  • Communicate effectively and professionally with others.
  • Establish and maintain collaborative relationships with colleagues and management.
  • Prepare breakfast for guests in the morning.
  • Perform all reasonable job duties as requested.
Job Requirements

Qualifications
  • Previous experience in a hotel or related field is preferred.
  • Strong attention to detail.
  • Ability to operate front desk equipment, including computers, switchboards, and credit card machines.
  • Basic math skills are essential.
  • Excellent verbal communication and guest interaction skills.
  • Ability to handle cash transactions and provide change as necessary.
  • Capability to work effectively as part of a team, sharing information appropriately between shifts.
  • Must be able to stand for extended periods.
