Reservations Specialist

OVERVIEW

The Reservations Specialist acts as the initial point of contact for guests when they reach out to inquire about bookings. This position demands a professional and courteous approach to managing guest reservations.

KEY RESPONSIBILITIES

Responsibilities include, but are not limited to:
  • Delivering exceptional customer service to all guests while managing reservations in accordance with hotel standards
  • Accurately recording and organizing reservation details through various channels, including online requests and travel agency inquiries
  • Addressing in-house guest requests to ensure a high level of satisfaction
  • Maintaining detailed logs of special requests and ensuring they are properly recorded in the property management system
  • Handling incoming calls and directing them appropriately, as well as managing email and correspondence
  • Understanding the hotel’s sales strategy by being aware of room availability and rates
  • Processing group reservations, including changes and cancellations, with precision
  • Preparing guest lists for group arrivals
  • Managing room allocations and pre-blocking for special events
  • Ensuring accuracy in transferring reservation data to the property management system
  • Actively promoting hotel accommodations to maximize revenue through effective selling techniques
  • Familiarizing oneself with hotel amenities and providing clear directions to guests
REQUIREMENTS
  • High school diploma or equivalent is required
  • A minimum of two (2) years of experience in a customer service capacity is essential
  • Prior experience in a luxury hotel environment is preferred
  • Strong telephone etiquette and excellent verbal and written communication skills are necessary
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook is required
PHYSICAL DEMANDS

Most tasks are performed indoors with a controlled environment. The role requires the ability to sit for extended periods, with occasional walking and standing. Candidates must be able to lift up to 15 lbs regularly. This position involves manual dexterity, including writing, standing, sitting, walking, and visual acuity.
