Clinical Office Administrator

Position Summary:
The Front Office Coordinator plays a crucial role in overseeing the daily operations of the practice, ensuring that both in-person and remote patients receive outstanding service. This position is essential for maintaining a welcoming environment and facilitating effective communication between patients and clinicians.
Key Responsibilities:
Operational Management:
- Foster a positive workplace culture by engaging with staff and supporting initiatives that enhance team morale.
- Prepare for patient appointments by ensuring all necessary documentation is complete and accurate.
- Maintain office organization and cleanliness, including managing correspondence and office supplies.
- Communicate effectively with colleagues and patients to enhance the overall care experience.
Patient Engagement:
- Deliver exceptional customer service by promptly addressing patient inquiries and concerns.
- Manage front desk operations, including patient check-in and check-out processes.
- Assist patients with scheduling, billing inquiries, and other requests via various communication channels.
- Ensure timely response to phone calls and manage call queues to maintain high service standards.
- Support patients in accessing telehealth services and resolving technical issues.
- Handle urgent patient requests and coordinate with appropriate departments for resolution.
- Collect co-payments and verify insurance eligibility during patient visits.
Clinician Support:
- Assist clinicians with administrative tasks and inquiries to streamline their workflow.
- Coordinate with clinicians regarding patient questions and appointment details.
- Ensure clinician schedules are accurate and up-to-date.
- Maintain a secure and motivating environment for all staff members.
Qualifications:
- High School diploma or equivalent required; an associate's or bachelor's degree is preferred.
- Minimum of 1 year of experience in healthcare operations or customer service is preferred.
- Strong multitasking and prioritization skills to ensure a high-quality patient experience.
- Excellent verbal and written communication abilities.
- Proficient in Microsoft Office and electronic medical record systems.
- Ability to handle sensitive information with discretion and in compliance with privacy regulations.
