Purpose Statement
The role of the Customer Service Representative is designed to address inquiries, provide necessary information, and refer individuals to the appropriate resources while offering general administrative assistance.

Key Responsibilities
  • Welcomes visitors to address their inquiries and/or guides them to the relevant personnel.
  • Manages a multi-line phone system to screen calls, transfer inquiries, and take messages as needed.
  • Distributes various materials within the organization to the appropriate recipients.
  • Maintains records and performs clerical tasks to support departmental functions.
  • Facilitates the onboarding process for new staff members.
  • Assesses situations to determine appropriate actions or referrals for resolution.
  • Keeps a variety of records in compliance with district, federal, and state regulations.
  • Prepares documentation to record activities, provide references, and convey information.
  • Responds to inquiries from staff and the public to identify the appropriate contacts for immediate issues.

Minimum Qualifications
Mental Requirements
Learning Development - Level C Ability to read and comprehend technical instructions, understand standardized methods, operate specialized equipment, and perform standard mathematical applications. This role requires some technical or vocational training beyond high school, often resulting in certification.
Problem Solving - Level 1 The work environment is routine and predictable, requiring attention and focus, with limited discretion and planning needed to effectively carry out tasks.
Physical Requirements
Physical Skill - Level A Basic physical skills are necessary, with no special coordination beyond normal mobility and handling of everyday items.
Physical Effort - Level 1 Minimal physical exertion is required, with most time spent seated and occasional walking. Light lifting and carrying of materials may be necessary.
Social Requirements
Human Relations Skill - Level B The position requires effective communication skills and the ability to establish cooperative relationships with individuals or small groups.
Scope of Contacts - Level 2 Interactions extend to peers in other departments and clients/customers, with occasional communication with higher authority levels.

Performance Environment - Level A Changes in work conditions and schedule irregularities are infrequent.
Physical Working Conditions - Level 1 Generally favorable working conditions with minimal exposure to noise, temperature extremes, or safety hazards.

Organizational Impact - Level 2 Work results affect the accuracy and reliability of outcomes beyond the immediate work area, contributing to the overall service provided to the public.

Experience, Education, and Certifications
Experience: Relevant job experience with increasing responsibilities is preferred.
Education: High School diploma or equivalent.
Certifications/Clearances: Must possess a valid Arizona DPS Level One IVP Fingerprint Clearance Card during employment. Valid Driver's License & Evidence of Insurability. CPR/First Aid Certification.

Pay Schedule: Hourly - Grade 111
