Job Summary

We are seeking a highly organized and detail-oriented Project Coordinator to support our commercial painting projects. The successful candidate will provide administrative support to the Project Manager, Superintendent, and Field Staff, ensuring the smooth execution of projects from start to finish.

Key Responsibilities
  • Manage all administrative aspects of painting projects, including coordination of production schedules, client communication, and communication with the Production Team.
  • Work closely with the Project Management Team and Estimating to ensure project deadlines and deliverables are met.
  • Keep track of project deadlines and deliverables, and create and send project documentation as needed.
  • Research and procure materials and equipment for assigned projects, and schedule delivery and pick-up.
  • Analyze blueprints and evaluate specifications and proposals to ensure project requirements are met.
  • Process field-generated change order requests and review for completeness and accuracy.
  • Schedule on-site project meetings for the Project Manager or Superintendent.
  • Create and send project Close Out documentation and warranty packets.
  • Maintain Company Contract List and Project Folders, inclusive of all Project and Warranty Documents.
  • Work with human resources to pre-screen production-related applicants and schedule Production Manager to interview, hire, and retain candidates.
  • Confirm receipt of signed contracts, deposits, and material selections.
  • Obtain final inspection and project Close Out documents from the field.
  • Assist with job cost analysis and budgeting for projects.
Requirements
  • Project administration experience is a plus.
  • Commercial painting experience is a plus.
  • Experience in the home improvement industry is a plus.
  • Able to effectively coordinate a number of projects simultaneously.
  • Ability to individually prioritize and handle a large workload, when necessary, at a steady pace.
  • Good organizational skills and initiative.
  • Excellent oral, written, communication, and report-writing skills.
  • Demonstrated ability to work well under pressure in a fast-paced environment.
  • Highly proficient computer skills in MS Office, Excel, cloud-based solutions, apps, etc.
  • Capability of reading and understanding blueprints and specifications.
  • Attention to detail is required.
  • Ability to work diligently under minimal supervision.
  • Demonstrates initiative and problem-solving skills.
  • Contributes to the successful completion of project initiatives.
  • Focused on meeting or exceeding company key performance indicators.
  • First-class customer experience & completion of all processes.
