Job Overview

Assistant Community Manager

This role involves supporting the community manager in the comprehensive management of the property, overseeing team performance, and ensuring adherence to community regulations and internal quality standards.

Key Responsibilities

  • Oversee property operations and staff to ensure compliance with Fair Housing laws, Human Resources policies, and Safety Management protocols.
  • Assist in conducting file audits, managing HUD requirements, and facilitating occupancy reviews and inspections.
  • Administer HUD recertifications and supervise compliance monitoring, including recertification processes and annual inspections.
  • Manage daily outreach, sales, and customer service initiatives to achieve performance goals.
  • Analyze market trends and competitive landscape.
  • Enhance revenue while controlling expenses, including managing collections and delinquency rates.
  • Provide exceptional customer service to residents, addressing issues promptly and ensuring maintenance requests are fulfilled.
  • Ensure timely completion of property reporting, including financial and marketing reports.
  • Adhere to budgetary and purchasing guidelines.
  • Maintain property aesthetics through regular inspections of the premises and vacant units.
  • Ensure compliance with company policies and procedures.
  • Participate in court proceedings as required.
  • Coordinate and lead staff meetings as necessary.
  • Supervise and evaluate staff performance in alignment with Area directives.
  • Promote resident engagement initiatives to foster community involvement through social and educational activities.
  • Prepare operational financial reports for the Regional Property Manager and other corporate departments as needed.
  • Lead recruitment, training, and development efforts to build a skilled property management team.

Qualifications

  • Required: Previous experience in property management.
  • Minimum of two years as an Assistant Community Manager with Project Based Section 8 experience.
  • Familiarity with HUD regulations and affordable housing recertification processes.
  • Certification as a COS (Certified Occupancy Specialist) or TCS (Tax Credit Specialist) or equivalent.
  • Experience in rent collections and financial management.
  • Strong customer service orientation.
  • Excellent verbal and written communication skills.
  • Experience in accounts receivable and collections is essential.
  • Detail-oriented with the ability to work independently.
  • Proficient in Microsoft Office Suite and property management software.

Education

High school diploma or GED is required. Proficiency in English and intermediate mathematical skills are necessary.

Professional Experience

A minimum of three years in residential property management as an assistant community manager is required.

Work Schedule

This position requires availability to work any day of the week, including weekends and holidays. Consistent attendance is crucial, along with the ability to work overtime when necessary. On-call duties may be required.

Technical Skills

  • Basic computer skills are necessary.
  • Proficiency in Outlook and property management software.
  • Intermediate knowledge of Microsoft Office applications.
  • Basic internet navigation skills.

Physical Requirements

Must be able to access all areas of the property and amenities. Ability to lift and carry weights up to 50 lbs independently and 100 lbs with assistance is required.
