This role involves providing comprehensive administrative support to the General Manager and the Director of Sales, ensuring efficient management and prioritization of daily tasks.

  • Serve as the primary contact for all gift certificates, managing requests for donations, purchases, recoveries, trades, and other certificate types.
  • Compile reports and gather necessary information and documentation for presentations.

Key responsibilities include:

  • Offering overall assistance to the Director of Sales and the General Manager.
  • Maintaining positive relationships with colleagues and guests consistently.
  • Handling incoming calls for the Executive Office and Director of Sales.
  • Managing sensitive information with confidentiality and respect for high-profile guests.
  • Supporting sales managers as required.
  • Assisting clients on-site as necessary.
  • Entering booking data into the system, along with relevant notes and event space allocations.
  • Assisting with room reservations, billing, reservation modifications, and group updates.
  • Projecting a professional image of the company through personal and phone interactions.
  • Performing general clerical tasks to support the sales team.
  • Monitoring and compiling expense reports for the General Manager, Director of Sales, and sales managers.
Essential Skills and Qualifications:
  • Strong judgment and decision-making capabilities.
  • Highly resourceful team player.
  • Ability to organize and prioritize tasks driven by deadlines.
  • Detail-oriented with effective task management skills.
  • Proficient in Microsoft Office applications, including Outlook, Word, and Excel.
  • Experience with Delphi and Opera software is a significant advantage.
