Position: Facilities Operations Specialist

Overview:
The Facilities Operations Specialist will undertake administrative responsibilities associated with database management, expense oversight, and facilities administration. This role will report directly to the Director of Asset Administration and collaborate closely with the Director of Facilities.

Key Responsibilities:
1. **Facilities Management:**
- Administer the facility management database by consistently inputting and updating data related to work orders, inspections, and preventive maintenance.
- Ensure accurate account coding and expense classification for all recorded activities.
- Monitor and facilitate the completion of work orders and inspections, striving for high completion rates.

2. **Coordination and Communication:**
- Coordinate with technicians and vendors to assign and dispatch work effectively.
- Maintain clear communication channels for emergency responses and updates.
- Follow up on vendor timelines and keep stakeholders informed.

3. **Documentation and Record-Keeping:**
- Support the organization’s record-keeping by maintaining all facility-related documents and files.
- Ensure that all team members have access to the most current information, promoting efficient operations.

4. **Vendor and Tenant Relations:**
- Engage with tenants and vendors to support overall facilities operations.
- Respond promptly to tenant requests and ensure clear communication regarding work orders.

Qualifications:
- Strong work ethic and emotional intelligence.
- Proficiency in Microsoft Office Suite; familiarity with property management software is advantageous.
- Ability to work independently and as part of a team.
- Excellent problem-solving and organizational skills.
- Minimum of three years of relevant experience in facilities management or related fields.
