Job Description / Essential Elements:
CLASS TITLE: TRANSPORTATION ADMINISTRATIVE SPECIALIST
BASIC FUNCTION:
Under the supervision of the Director of Transportation, perform a range of financial accounting tasks and record-keeping functions related to payroll, accounts payable and receivable, departmental budgeting, and human resources; prepare and maintain various records and reports for internal departments; manage statistical and accounting documentation; and execute various clerical responsibilities.
ESSENTIAL FUNCTIONS:
- Support the Transportation Department by executing financial accounting tasks and maintaining records related to payroll, accounts payable and receivable, departmental budgets, and human resources.
- Process monthly payroll for Transportation staff, making necessary adjustments; maintain payroll management codes; and apply deductions and reimbursements for employee leave.
- Compile information for employee leave and disability reports; liaise with Payroll and Risk Management to ensure accurate information exchange; and prepare monthly absence reports.
- Manage invoices for accounts payable, ensuring timely vendor payments; arrange reimbursements for district expenditures; and process purchase requisitions and billing for accounts receivable.
- Assist in budget planning, revisions, and forecasts; prepare financial documentation; and monitor budgetary expenditures.
- Ensure drivers have access to contract hours and bus schedules; maintain records related to driver seniority and contracts; and prepare employee contracts to meet transportation needs.
- Conduct various clerical tasks associated with financial accounting and record-keeping; respond to requests for statistical information; and manage office supplies as needed.
- Operate standard office equipment and software; communicate effectively with parents, district staff, and external agencies to resolve issues.
- Maintain accurate records and reports related to assigned activities.

EDUCATION AND EXPERIENCE REQUIRED:
Any combination equivalent to: graduation from high school, supplemented by college-level coursework in business accounting or finance, and three years of progressively responsible experience in financial record-keeping.
