Patient Access Representative Lead Job Description

At Puyallup Tribal Health Authority, we are seeking a highly skilled Patient Access Representative Lead to join our team. As a key member of our Patient Access Department, you will play a vital role in ensuring the smooth operation of our healthcare services.

Key Responsibilities:
  • Inform Patient Access Representatives on Patient Access processes and procedures, providing helpful reminders to ensure consistency.
  • Assist with training and retraining of Patient Access staff, ensuring they have the necessary skills to perform their duties effectively.
  • Research clinic schedules and scheduling concerns, taking steps to correct any errors and communicate findings with the Patient Access Supervisor and necessary parties.
  • Handle complex clinic schedule corrections, ensuring accuracy and attention to detail.
  • Answer questions from Patient Access staff, providing coaching and assistance as needed.
  • Assist the Patient Access Supervisor with staff call-outs and coordination of staffing as needed.
  • Schedule, reschedule, and cancel appointments as needed through various sources, maintaining the appointment recall system.
  • Perform accurate updates on all scheduled patients, ensuring timely and efficient processing.
  • Check patients in for appointments, having them complete necessary forms and verifying insurance information.
  • Register new patients and/or update established patients, determining direct and contract care eligibility according to policy and procedures.
  • Verify, collect, and accurately enter insurance information into the electronic health record system, notifying the supervisor of any issues.
  • Screen uninsured patients for alternate coverage options, informing and referring as appropriate.
  • Explain updating responsibility, alternate resource requirements, and distribute and interpret patient information handouts as needed.
  • Prepare electronic patient charts for daily appointments, ensuring chart completeness and compliance.
  • Seek guidance and clarification on assignments and when questionable situations arise, ensuring proper procedures are followed.
  • Answer multi-line phone system calls, handling and routing them efficiently and professionally.
  • Greet and route all visitors/patients, responding to their requests in a helpful and courteous manner.
  • Provide administrative support for the Patient Access Department, including routing mail, taking minutes, answering phones, typing, faxing, electronic filing, copying, scanning, and data entry as needed.
  • Order and maintain inventory of office supplies and materials for the Patient Access Department.
  • Ability to quickly learn and efficiently work with an Electronic Health Records/Electronic Practice Management System.
  • Rotate through all Patient Access areas and fill-in wherever needed to provide coverage during PTHA operating hours.
  • Able to work in a high volume, fast-paced environment, providing excellent customer service.
  • Works independently with minimal supervision, staying on task and maintaining work quality and productivity.
Requirements:
  • High School Diploma or GED.
  • Five (5) years' direct patient front desk experience in a healthcare facility verifying and entering patient information into an electronic health records system.
  • Experience providing excellent customer service and administrative support, with strict attention to detail.
  • Must have proficiency in MS Office products (Word, Excel, Outlook, etc.).
