Job Title: Executive Assistant/Office Manager

Xl Batteries is seeking an experienced Executive Assistant/Office Manager to provide administrative support to our executives and maintain day-to-day office operations.

Key Responsibilities:
  • Provide reception services and act as the first point of contact for the company.
  • Manage office supplies, inventory, and relationships with vendors.
  • Operate and troubleshoot office equipment, including telephones, conference room AV, copiers/printers, and postage machines.
  • Assist other departments with administrative tasks and manage relationships with service providers.
  • Organize and schedule meetings and appointments, maintain company documents, and manage grant applications.
  • Handle confidential information and conduct employee onboarding and orientation.
  • Monitor IT issues and escalate to internal or external support teams as needed.
  • Organize company events, workshops, and training sessions.
Requirements:
  • Associates degree or equivalent experience and training required.
  • 3-5 years of experience in administrative duties in an office environment, preferably in a start-up company.
  • Proficient in Office 365 and Mac operating systems.
  • Prior experience coordinating domestic/international travel.
  • Ability to multitask and prioritize daily workload.
  • High-level written and verbal communication skills.
  • Ability to function independently and effectively within a team.
