Position Overview:

The Patient Services Associate plays a crucial role within the healthcare team, operating under the supervision of the department manager or designated personnel. This position is responsible for welcoming and registering patients at the medical facility in a friendly and professional manner. Key duties include ensuring accurate patient check-in and check-out processes, capturing essential information, and collecting revenue in accordance with established protocols. A solid understanding of the medical center's operations is necessary to effectively assist patients with inquiries and concerns. Proficiency in computer usage is essential.

Key Responsibilities:
  • Manage patient reception, check-in, and check-out processes.
  • Welcome and assist patients upon arrival.
  • Adhere to patient registration and check-in procedures.
  • Verify and update patient demographic information, including physician selection and language preferences.
  • Possess knowledge of various health plan coverage types.
  • Facilitate patient check-in by following established policies and utilizing both electronic and manual systems as needed.
  • Determine patient benefits based on displayed information.
  • Create accounts for specific cases, such as workers' compensation.
  • Accurately capture workers' compensation data.
  • Manage electronic communications and documentation.
  • Document prepayments as necessary.
  • Obtain medical record numbers when required.
  • Order health plan cards as needed.
  • Collect co-pays and inform patients about payment options.
  • Generate encounter forms as per procedures.
  • Guide patients to the appropriate areas post check-in.
  • Facilitate patient check-out by following checkout procedures.
  • Handle registrations for special cases, including non-members and Medicare patients.
  • Complete necessary forms for all appointments.
  • Access fee schedules to determine appropriate charges.
  • Assist patients by explaining fees and providing directions.
  • Refer patients to other departments for additional information.
  • Complete relevant forms as needed.
  • Track referrals to specialty care as required.
  • Demonstrate knowledge of Patient Administration Appointment Registration Systems.
  • Maintain the patient will-call area if applicable.
  • Communicate effectively with clinical and administrative staff.
  • Handle cash transactions, reconciliations, and deposits.
  • Comply with cash handling policies and maintain security of funds.
  • Ensure accurate documentation of discrepancies.
  • Contribute to positive operational outcomes.
Qualifications:
Experience:
  • Minimum of six months of relevant work experience.
Education:
  • High School Diploma or GED.
Skills:
  • Basic computer skills and familiarity with keyboard usage.
  • Ability to follow instructions and communicate effectively.
  • Professional phone etiquette.
  • Strong organizational and multitasking abilities.
  • Willingness to work in a collaborative environment.
