Position Overview:

The Patient Services Coordinator plays a vital role within the healthcare team, operating under the supervision of the department manager or designated personnel. This role involves welcoming and registering patients arriving at the medical facility in a professional and friendly manner. The coordinator is tasked with ensuring accurate patient check-in and check-out processes, collecting necessary information, and managing revenue collection in accordance with established protocols. A general understanding of the medical center is essential to assist patients effectively with their inquiries and concerns. Proficiency in computer usage is required.

Key Responsibilities:
  • Manage reception duties, including patient check-in and check-out.
  • Provide a warm greeting and assistance to patients upon arrival.
  • Adhere to patient registration and check-in procedures.
  • Verify and update patient demographic information, including physician selection and language preferences.
  • Possess a working knowledge of various health plan coverage types.
  • Facilitate patient check-in using both electronic systems and manual records as necessary.
  • Assess patient membership and benefits based on displayed information.
  • Create patient accounts for specific cases, such as workers' compensation.
  • Accurately input workers' compensation data into the appropriate systems.
  • Oversee electronic communication and manage in-basket tasks.
  • Document prepayments using the notes function when applicable.
  • Obtain patient medical record numbers as required.
  • Order health plan cards as needed.
  • Collect co-pays and inform patients about available payment options.
  • Generate encounter forms as per procedure, either electronically or manually.
  • Guide patients to the appropriate departments after check-in.
  • Conduct patient check-out processes in line with established procedures.
  • Handle registration for exception-type patients, including non-members and Medicare patients.
  • Complete necessary forms for all appointments as per policy.
  • Utilize the fee schedule to determine and collect appropriate fees.
  • Assist patients by explaining co-pays and providing directions within the facility.
  • Refer patients to other departments for additional information.
  • Initiate and complete required forms, such as Release of Information.
  • Track referrals to specialty care as necessary.
  • Demonstrate proficiency in Patient Administration Appointment Registration Systems.
  • Maintain the patient will-call area as applicable.
  • Communicate effectively with clinical and administrative staff.
  • Handle cash transactions, reconciliation, and deposits.
  • Follow cash handling policies and procedures diligently.
  • Ensure the safekeeping of change funds and all revenue collected during shifts.
  • Reconcile funds accurately and report any discrepancies.
  • Strive for positive operational outcomes.
Qualifications:
Experience:
  • Minimum of six months of relevant work experience.
Education:
  • High School Diploma or GED required.
Skills:
  • Basic computer skills and familiarity with keyboard usage.
  • Ability to follow instructions and communicate effectively.
  • Professional phone etiquette and strong multitasking abilities.
  • Willingness to work in a collaborative environment.
