Position Overview:


The Client Services Specialist (CSS) plays a vital role in supporting Private Advisors by managing various operational tasks related to client accounts, asset distribution, and account monitoring and reporting.

The CSS often acts as a primary contact for client inquiries, requiring effective communication to understand client needs and expectations.

This role involves prioritizing and executing daily responsibilities for the Private Advisor, utilizing proprietary portfolio accounting and reporting software or other relevant systems.

The CSS is tasked with maintaining client accounts, verifying information, and generating reports that clarify complex asset allocation, performance, and risk management concepts for clients.

Addressing account management issues, including onboarding new clients, trading activities, investment documentation, and daily account operations, is essential.

The CSS must be adept at reassessing priorities as situations evolve for multiple clients and collaborating with a team of CSSs to balance workloads as necessary.


Key Responsibilities:

  • Manage operational components of client accounts, including reporting on holdings and investment performance, processing daily cash transactions, and executing trade instructions.
  • Collaborate with other departments such as Operations and Technology, as well as external investment partners, to ensure accurate and timely processing of data in relevant accounts.
  • Work with team members to review reports and deliver them, along with execution instructions, in preparation for client meetings.
  • Conduct one-off financial research requests utilizing third-party data and software, as well as internal systems.
  • Keep Private Advisors and Senior Associates informed about the status of client relationships and related tasks; escalate client issues as necessary.
  • Address general client inquiries, manage expectations by balancing needs and resources with deliverables, and escalate new client requests to ensure proper service scope.
  • Serve as a backup for other Associates when required.
  • Maintain a sense of ownership and accountability for the clients served; communicate effectively, keep meticulous records, pay attention to detail, and adhere to compliance policies and procedures.

Qualifications:

  • A BA/BS degree is required; coursework in Finance, Accounting, Economics, or Statistics is preferred. Candidates with relevant experience in non-finance majors are encouraged to apply. Strong academic performance is essential.
  • 1-3 years of prior customer service experience in the banking or finance sector, or equivalent experience, is preferred.
  • Experience in account servicing roles, particularly in onboarding new accounts, is a significant advantage.
  • Series 7 license is required or must be obtained within six months of hire.

Skills:

  • Fundamental understanding of investments and portfolio reporting terminology.
  • Proficient in Microsoft Office, particularly Excel; ability to use Excel for organizing, analyzing, presenting, and reporting client information; knowledge of Word, Access, and PowerPoint is a plus.
  • Ability to work independently and collaboratively within a team.
  • Capacity to multitask and reassess priorities as situations arise.
  • Detail-oriented with a strong focus on accuracy and meeting deadlines.
  • Excellent interpersonal skills.
  • Ability to handle confidential matters with discretion.
  • Strong written and verbal communication skills.
  • Ability to articulate ideas clearly and concisely.
