We are seeking a highly skilled Event Coordinator to join our team As an Event Coordinator, you will play a critical role in ensuring the successful execution of all events, programs, and activities on our campus. This includes coordinating logistics, managing event schedules, communicating with clients and stakeholders, and providing exceptional customer service.

Key Responsibilities

  • Coordinate all aspects of event planning, including venue setup, catering, audio-visual equipment, and accommodations.
  • Manage event schedules, timelines, and budgets to ensure smooth execution.
  • Communicate effectively with clients, vendors, and internal teams to ensure clear understanding of event requirements and expectations.
  • Provide exceptional customer service to guests, attendees, and participants, responding promptly to inquiries and concerns.
  • Collaborate with the Assistant Director of Operations to develop and implement event strategies, policies, and procedures.
  • Monitor event expenses, reconcile invoices, and manage budget allocations.
  • Maintain accurate records, reports, and databases to track event performance, client satisfaction, and operational metrics.
  • Participate in staff meetings, training sessions, and professional development opportunities to enhance skills and stay up-to-date on industry trends.
  • Work collaboratively with cross-functional teams, including marketing, sales, and facilities, to support event success.

Requirements

  • 2+ years of experience in event planning, coordination, or management, preferably in a hospitality or education setting.
  • Proven track record of successfully managing multiple events, projects, and priorities simultaneously.
  • Excellent communication, interpersonal, and problem-solving skills, with the ability to build strong relationships with clients, colleagues, and vendors.
  • Demonstrated expertise in event software, tools, and platforms, including registration systems, email marketing, and social media management.
  • Ability to work independently, as part of a team, and adapt to changing circumstances, deadlines, and priorities.
  • Strong organizational, time management, and analytical skills, with attention to detail and accuracy.
  • Familiarity with budgeting, financial management, and accounting principles.
