:

The Proposal Coordinator collaborates with proposal leaders, capture strategists, and technical experts to organize and assist in the creation of sales proposals and expressions of interest.

Key Responsibilities

  • Organizes, leads, and documents straightforward proposal initiation and review phases in line with established practices for proposal creation.
  • Work is closely supervised by the Manager to ensure precision, punctuality, and quality.
  • Gathers and shares meeting summaries, action points, and feedback from all proposal discussions.
  • Conducts thorough assessments of advertisements, Statements of Qualifications (SOQ), and Request for Proposals (RFP) criteria; develops compliance matrices and schedules while coordinating tasks for the proposal team.
  • Communicates and monitors deadlines for content development from the technical team.
  • Manages proposal resources, including project management, technical team contributions, proposal support, subcontractor input, graphics/printing teams, and corporate resources (such as legal, HR, and financial).
  • Identifies and prioritizes tasks, formulates proposal production timelines for Manager review.
  • Reviews all deliverables, ensures completion of tasks, and compliance with internal best practices and quality control standards.
  • Edits and evaluates technical sections.
  • Ensures all modifications from review sessions are incorporated.
  • Inputs key proposal data and milestones into the CRM system.
  • Assists sales interview teams, if necessary, under the guidance of the Senior Manager.
  • Works alongside graphic designers to create proposals and presentations.

Required Qualifications

  • A 4-year degree in English, marketing, journalism, communications, or a related field is typically required.
  • 1-2 years of experience with RFP responses and some experience in section writing.

Employment Status: Full-Time

Salary Range: $70,000 - $90,000
Salary dependent upon experience and geographic location.
