Position Overview: The Service Warranty Administrator plays a crucial role in the review and completion of warranty claims. This position entails the preparation, recording, reconciliation, and submission of warranty claims to the appropriate entities.

Key Responsibilities:
  • Process all warranty claims by the next business day following the repair order close date.
  • Address and resolve all claim corrections and charge-backs efficiently.
  • Establish and nurture relationships with designated warranty representatives from manufacturers.
  • Thoroughly review each warranty repair order for accuracy, completion, and legibility in accordance with established policies and procedures.
  • Analyze issues, identify trends, and develop strategies to optimize the claims process.
  • Notify technicians of the hours earned for the services they performed.
  • Verify each repair order against the vehicle's service history to prevent duplicate claims.
  • Provide weekly updates to the service manager regarding the status of claims.
  • Report any instances of fraudulent manipulation of warranty claims.
  • Supply the parts manager with an updated parts listing on a weekly basis.
  • Conduct weekly audits of warranty schedules, reviewing all outstanding claims and addressing necessary adjustments or write-offs.
  • Assist service consultants in finalizing all open warranty repair orders.
  • Support service consultants and technicians with any inquiries related to warranty processes.
  • Participate in special projects, audits, and reports as requested.
  • Review and manage all aging schedules and reports diligently.
  • Comply with federal, state, and local regulations, including safety requirements and hazardous waste disposal.
  • Attend warranty training sessions as required.
Qualifications:
  • High school diploma or equivalent.
  • Strong verbal and written communication skills.
  • Ability to effectively manage and resolve challenging customer service situations.
  • Demonstrated skills in customer service.
  • Capability to read and comprehend written instructions and information.
  • General knowledge of automotive parts and vehicle mechanical operations.
  • A minimum of two years of experience in an automotive dealership setting.
  • Technical aptitude evidenced by ASE certification or successful completion of a pre-employment assessment.

Compensation: This role offers a competitive pay range of $30-35 per hour, depending on experience, with an expected annual salary of approximately $47,120, contingent upon each candidate's unique qualifications.
