Role Description

We are seeking a skilled Editorial Project Coordinator to facilitate the progress of our initiatives and ensure timely delivery of project milestones. The coordinator will be responsible for organizing calls with relevant teams, maintaining speaker tracking systems, and providing real-time updates to clients and partners. This role includes producing presentations to inform stakeholders about project developments and preparing comprehensive briefings.

Essential Qualifications

Previous experience in editorial or journalistic roles is essential, with international exposure being highly valued. The ideal candidate will demonstrate the ability to navigate diverse environments, adapt to cultural nuances, and manage global relationships effectively. Strong language proficiency and a global perspective are critical for success in this position. Candidates should possess exceptional organizational skills, a solid understanding of global affairs, and familiarity with current business trends and prominent speakers, including CEOs and thought leaders.

Remote Work Structure

This position is primarily remote, allowing the candidate to work from home or any location of their choice. However, being based in proximity to New York City or New Jersey is preferred for occasional in-person meetings. The ability to travel for these meetings is necessary, and the candidate should be within a reasonable commuting distance. Most communication and collaboration will occur virtually, so comfort with remote work and excellent communication skills are required.

Responsibilities

  • Coordinate meetings across different time zones with VIP speakers and internal teams.
  • Manage technical aspects of meetings, including setting up Zoom links and creating agendas.
  • Track and report on speaker and program development using Excel.
  • Prepare PowerPoint presentations to update stakeholders on project status.
  • Conduct tailored research on speakers, topics, and themes as needed.
  • Oversee project timelines and deliverables in collaboration with internal and external teams.
  • Document notes during meetings to ensure effective project management.
  • Assist with email communications as directed.
  • Collaborate with production teams to ensure smooth workflow from editorial to live-event production.
  • Coordinate logistics for speaker preparation and in-person community management.
  • Be available during off-hours to accommodate international time zones when necessary.
