Job Overview

CLASS TITLE: CREDENTIALING SPECIALIST

BASIC FUNCTION:

Under the supervision of the Assistant Superintendent of Personnel Services, engage in a range of specialized and technical tasks to support the functions related to certificated personnel. Act as the credentialing specialist for certificated staff, overseeing their assignments and ensuring adherence to credentialing laws and regulations. Provide essential credentialing services to certificated personnel while offering guidance and support to District employees, job candidates, and the public. Prepare and manage personnel actions, records, and documentation, while interpreting policies and regulations associated with various personnel activities.

KEY RESPONSIBILITIES:

  1. Establish and maintain confidential personnel files for certificated staff.
  2. Assess and verify the validity of credentials held by certificated personnel; assist them in the application and renewal processes; gather, review, and approve necessary documentation for application packets; monitor application statuses.
  3. Maintain communication with the California Commission on Teacher Credentialing and County Office of Education regarding legislative and administrative updates affecting credentialing regulations; provide information on California credential requirements to certificated personnel.
  4. Prepare recruitment notices for certificated and management vacancies; manage files for current openings and create employment advertisements.
  5. Screen inquiries via phone and in person, offering specialized information and assistance regarding personnel and employment policies.
  6. Review applications for compliance with employment standards; assist job applicants and employees with inquiries about vacancies and promotional opportunities.
  7. Coordinate interview panels, notifying members of schedules and locations; prepare interview materials and complete necessary documentation post-interview.
  8. Evaluate transcripts for appropriate placement on the certificated salary schedule; process formal employment offers and contracts for certificated staff.
  9. Handle sensitive information such as fingerprints and health test results; maintain accurate records across various platforms.
  10. Provide orientation for new employees regarding compensation, benefits, and policies; assist with the necessary paperwork to establish personnel files.
  11. Initiate and manage documentation for salary adjustments and other personnel transactions; distribute relevant information to district personnel.
  12. Compile statistical data to generate reports on seniority, employee evaluations, and other personnel transactions.
  13. Communicate with the Controller and County Office regarding personnel changes; verify employment as per established procedures.
  14. Perform related duties as assigned.

KNOWLEDGE AND SKILLS:

Knowledge of interpersonal skills, policies, procedures, and regulations related to personnel. Familiarity with credential laws and effective communication skills, both oral and written. Proficiency in record-keeping techniques and modern office practices, including computer applications.

EDUCATION AND EXPERIENCE:

Any combination equivalent to: graduation from high school with coursework in personnel, credentialing, or public administration, along with three years of relevant clerical experience, preferably in an educational setting.

LICENSES AND OTHER REQUIREMENTS:

Some positions may require a valid California driver's license and appropriate automobile insurance.
