Job Summary
We are seeking a highly organized and professional individual to fill the role of Receptionist at Starr Insurance Companies. As the face of our organization, the Receptionist will be responsible for creating a welcoming environment for our guests and providing exceptional customer service.
Key Responsibilities
- Greet visitors and clients as they arrive, ensuring they feel welcomed and are directed to the appropriate person or meeting room.
- Answer, screen, and forward incoming phone calls while providing basic information when needed.
- Prepare conference rooms before each scheduled meeting, including coordinating catering and refreshment needs.
- Maintain office security by following procedures, monitoring logbooks, controlling access, and issuing visitor badges.
- Schedule, manage, and coordinate meeting room bookings.
- Receive, sort, and distribute daily mail/deliveries and manage outgoing mail and messenger pick-ups.
- Assist in preparation of PowerPoint presentations and meeting materials.
- Assist with the coordination of office events and meetings.
- Update and maintain front desk policies and procedures.
- Maintain the Executive Breakroom.
- Contribute to the Processing Team effort by accomplishing daily tasks.
- Perform additional roles and specialized tasks relating to the Aviation department.
Requirements
- Proven work experience in a corporate environment as a Receptionist, Front Office Representative, Administrative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, Excel) and other office productivity software, with the ability to learn new software and systems.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multitask.
- Professional attitude and appearance.
- Highly dependable and efficient, able to meet deadlines.
- Solid customer service attitude with excellent problem-solving abilities.
- Ability to be resourceful and proactive when issues arise.
