Job Summary

Columbia Ability Alliance is seeking a highly organized and detail-oriented Front Office Administrative Assistant to join our team. As the first point of contact for our agency, this role plays a crucial part in ensuring the smooth operation of our office.

Key Responsibilities
  • Provide exceptional customer service to visitors, clients, and team members, responding to inquiries and directing them to the appropriate staff members.
  • Coordinate and schedule board and committee meetings, preparing meeting materials, setting up rooms, and arranging catering as needed.
  • Take accurate and detailed minutes during meetings and distribute them in a timely manner.
  • Assist in maintaining agency records, including filing, data entry, and document preparation.
  • Support staff with the preparation of correspondence, reports, and presentations.
  • Manage incoming and outgoing mail and email communications.
  • Assist in organizing agency events, workshops, and trainings.
  • Maintain office supply inventory and order supplies as needed.
Requirements
  • High school diploma or equivalent; associate degree in business administration or related field preferred.
  • At least 1-2 years of experience in an administrative role, preferably in a non-profit or social services setting.
  • Excellent communication skills, both verbal and written, with the ability to interact courteously and effectively with a diverse range of people.
  • Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with database management.
  • Detail-oriented with a high level of accuracy in tasks such as document preparation and data entry.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
Preferred Qualifications
  • Ability to speak, read, and write Spanish.
  • Valid Washington State Drivers' License and proof of automobile insurance.
Work Environment

The work environment is a dynamic and inclusive office setting with moderate-loud noise levels. The successful candidate will be required to sit, stand, and walk for extended periods, with occasional lifting and carrying of less than 25 pounds.
