As a Project Coordinator at our organization, your key role will involve gathering comprehensive information from various stakeholders to develop a detailed project framework that serves as the definitive guide for our installation and support teams.

Throughout the project lifecycle, clients will rely on your expertise for advice on best practices and industry standards. The ideal candidate will exhibit a positive, composed, engaging, and confident demeanor.

Key Responsibilities of the IVS Project Coordinator

  • Collaborate with sales personnel to ensure that hardware aligns with client expectations and that the customer's vision is realized.
  • Develop and customize all project-related documentation.
  • Facilitate project meetings and calls, ensuring that key stakeholders are accountable for providing timely information.
  • Manage ongoing project communications to verify, compile, and document new insights.
  • Identify potential challenges or technical issues and formulate appropriate solutions.
  • Coordinate on-site services and ensure clients adhere to the agreed-upon timelines.
  • Monitor project progress and guarantee that all activities are completed within the established timeframe.
  • Regularly review project schedules to identify any delays or deviations.
  • Participate in internal project meetings and follow up on outstanding tasks.
  • Assist in scheduling travel for IVS as necessary.
  • Prepare project reports for management and clients.

Training will encompass a blend of job shadowing for process understanding and classroom-style instruction on our software and hardware. There will also be opportunities to accompany our installation team to gain a comprehensive understanding of the entire process.

Qualifications for Success in this Role:

  • A genuine passion for delivering outstanding customer service, along with strong communication skills for engaging with both internal and external stakeholders, is essential.
  • Possessing diplomatic interpersonal skills and a detail-oriented approach will contribute to your success.
  • The ability to work independently with minimal supervision is crucial.
  • Proficiency in written and digital management tools is required.
  • A minimum of one year of project management experience in a technical environment is preferred.
  • Familiarity with Word, Outlook, Zoom, and CRM & project management software is necessary.

This position is full-time, with standard working hours. It is essential to be present on-site for this role.
