Job Summary

We are seeking a highly organized and communicative Administrative Support Specialist to join our office team. The ideal candidate will provide exceptional support to employees, vendors, and customers while working closely with management to complete assigned tasks.

Key Responsibilities
  • Customer Service: Greet customers by phone or in-person, explain the collision repair process, and ensure understanding of insurance claims information, processing, and payment procedures.
  • Vehicle Intake Process: Map damage, photograph vehicles, and document work files according to company standards.
  • Administrative Tasks: Collect incoming payments, conduct AR follow-up calls, send emails, and maintain an organized filing system.
  • Support Service Advisor: Complete parts invoices and assist with Service Advisor tasks as needed.
  • Scheduling: Schedule appointments and maintain calendars.

The successful candidate will possess excellent time management skills, ability to prioritize projects, and familiarity with standard office equipment. A high school diploma or GED; Associates Degree or administrative training is preferred, along with previous experience as an Administrative Assistant or similar role.

Estimated Salary: $45,000 - $60,000 per year, based on location and industry standards.
