Hollister Collision Center is seeking a skilled Administrative Coordinator to provide essential support to our office employees, vendors, and customers. As an Administrative Coordinator, you will work closely with management to complete assigned tasks, including answering phone calls, scheduling appointments, planning meetings, collecting payments, and more.

Job Responsibilities
  • Review the repair process with customers and walk them through it: Greet customers by phone or in-person, explain the collision repair process, including insurance claims information, processing, and payment procedures.
  • Complete vehicle intake processes: This includes mapping damage, photographing vehicles, and documenting work files according to company and repair partner standards.
  • Perform various administrative tasks: Collect incoming payments, conduct AR follow-up calls, call customers, send emails, and so on.
  • Provide additional support to Service Advisors as needed: Complete parts invoices and offer extra assistance for Service Advisor roles as necessary.
  • Schedule appointments and maintain calendars.
  • Write emails, memos, and letters and distribute them appropriately.
  • Maintain organized filing systems.
