Job Overview

The Client Service Coordinator plays a vital role in ensuring an exceptional client experience. This position demands outstanding customer service, meticulous attention to detail, and effective time management skills.

Key Responsibilities:

  • Assist the Financial Advisor and Senior Client Service Associate in managing a substantial portfolio, executing all administrative tasks associated with the advisors and the firm.
  • Engage with clients regularly through appointment scheduling and correspondence; manage incoming calls and direct messages in accordance with firm protocols.
  • Facilitate client meeting preparations and follow-ups, including the assembly of necessary documentation, report generation, scheduling, and post-meeting records.
  • Process, submit, and manage all account-related paperwork and requests, ensuring completion through paperless methods (including eSignature) when possible.
  • Handle the deposit of received checks and maintain a check log in compliance with regulatory standards.
  • Update and maintain client information within the CRM system.
  • Oversee and refresh mailing lists for birthdays, holidays, and marketing initiatives.
  • Order office supplies and serve as the primary contact for infrastructure-related requests.

Qualifications:

  • Proficient in basic computer applications (Outlook, Word, Excel, and PowerPoint).
  • Strong organizational and time management abilities with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Familiarity with CRM systems is advantageous.
