About the Role

We are looking for a highly organized and detail-oriented Administrative Support and Financial Operations Coordinator to manage various aspects of our business. As the ideal candidate, you will possess excellent communication skills, be proficient in Microsoft Office Suite, and have experience with accounts payable procedures.

Responsibilities:

  • Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
  • Manage CEO's travel logistics and activities, including accommodations, transportation, and meals
  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database
  • Maintain professionalism and strict confidentiality with all materials
  • Maintain an organized filing system of paper and electronic documents
  • Prepare analyses, reports, and presentations
  • Complete other assigned projects and administrative tasks

Requirements:

  • Bachelor's Degree
  • Three or more years of experience in an administrative role reporting directly to upper management
  • Excellent written and verbal communication skills
  • Strong time-management skills and ability to organize and coordinate multiple concurrent projects
  • Proficiency with office productivity tools and aptitude for learning new software and systems
  • Accounts Payable experience
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees
  • Solid organizational skills, including ability to prioritize and multi-task
  • Advanced knowledge of Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Ability to communicate effectively and professionally with all levels of the organization and externally with tenants, vendors, and other outside parties
  • Ability to work independently and with minimum supervision
  • Ability to work in a fast-paced environment
  • Must possess strong work ethic
  • Must be a team player

Salary: $60,000 - $80,000 per annum
