Role Summary:
Stoll Keenon Ogden PLLC is in search of a Legal Administrative Assistant to enhance our immigration practice. This role is well-suited for individuals who have experience in office support, documentation, and general administrative duties to assist multiple attorneys effectively.
Key Responsibilities:
- Manage incoming and outgoing correspondence, ensuring timely updates and distribution of materials to clients and attorneys within the firm.
- Establish new client files and conduct intake processes, including drafting engagement letters and organizing physical files.
- Maintain and organize a substantial volume of electronic and paper records, ensuring original documents are properly cataloged.
- Oversee detailed management and assembly of case files and associated documentation.
- Engage in verbal and written communication with clients, vendors, and governmental bodies.
- Prepare extensive correspondence for clients and other relevant parties.
- Track deadlines, manage scheduling, and complete expense reports efficiently.
- Keep attorney Continuing Legal Education (CLE) files up to date.
Qualifications and Skills:
- Exceptional organizational abilities, with a keen attention to detail and the capacity to prioritize multiple tasks while collaborating with various supervisors.
- Proficient in technology, particularly in MS Word, Outlook, and Excel; willing to learn new software and processes. Preference for candidates with prior immigration experience and familiarity with case management systems.
- Strong interpersonal skills, enjoying collaborative communication with colleagues across the firm.
- Proactive and achievement-oriented, embracing challenges with a positive attitude.
- Dependable team player who is committed to completing tasks in a timely manner, with flexibility to work overtime as necessary.
- Adaptable and open to frequent changes in direction and responsibilities.
Experience Required:
- Demonstrated experience as a Legal Assistant, with a preference for candidates who have worked in immigration.
- Competence in Microsoft Office Suite (Excel, Word, Outlook).
- Familiarity with basic office equipment such as PCs, laptops, printers, scanners, and copiers.
- Outstanding written and verbal communication skills.
- Excellent interpersonal abilities, focusing on building rapport and effective listening.
Employment Type: Full-time. Standard work week consists of 37.5 hours, with the possibility of additional hours as required.
