Performance Contracting Group is seeking an experienced Event Planner to join its team in Lenexa, Kansas. As an Event Planner, you will be responsible for planning and coordinating events, including conferences, corporate functions, and customer events.
Key Responsibilities:
- Plan and coordinate events from conception to execution, ensuring seamless delivery and exceeding client expectations.
- Manage event budgets and make decisions to stay within event parameters, maintaining the highest level of quality.
- Create and manage event registrations, RSVPs, and attendee communications to ensure timely and accurate information.
- Collaborate with vendors, suppliers, and contractors to ensure all event needs are met and contractual obligations are fulfilled.
- Work closely with internal departments and senior leaders to understand their vision, preferences, and objectives for each event, ensuring alignment with company standards.
- Coordinate event logistics, including venue selection, pre-planning, registration, and attendee tracking, agenda, signage, event layout/maps, transportation, catering, audiovisual equipment, timelines, vendor negotiation, vendor management, and entertainment selection.
- Attend and manage events on-site, ensuring setup, breakdown, registration, and swag distribution run smoothly.
- Provide excellent on-site support to event attendees, addressing and troubleshooting any issues or concerns promptly and professionally.
- Travel to local and national locations for future venue selections.
- Conduct post-event evaluations with senior leaders and gather feedback for continuous improvement.
Requirements:
- 3-5 years of experience planning, managing, and executing large-scale events involving executive-level attendees.
- Experience managing a budget and reconciliation.
- Strong written and verbal communication skills, with the ability to interact professionally with senior leaders, team members, and vendors.
- Excellent organization, multi-tasking, follow-through, and customer service skills required.
- Keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Creative thinking and problem-solving abilities to manage unexpected challenges during events.
- Ability to adapt to changing priorities and work under pressure.
- Must have a schedule that will allow for non-traditional working hours, including weekends, before and after traditional office hours as needed.
- Must be willing to travel around 10-12 weeks annually.
- Experience partnering with different vendors and managing contractual negotiations.
- Must have a creative eye when it comes to décor, event floor layout, etc.
- Highly motivated and operates exceptionally in a fast-paced environment.
- Works well with a team and individually.
- Maintain confidentiality of department.
Preferred Requirements:
- Bachelor's degree in Event Management, Hospitality, Marketing, or a related field is a plus.
- Experience using event management software is a plus.
- Local to the Kansas City Metro area.
- Holds relevant certifications such as CMP (Certified Meeting Planner) and/or PMP (Preferred Meeting Planner) preferred.
