Executive Support Specialist

We are seeking a highly organized and proactive Executive Support Specialist to join our team at Supervest. This dual-role position will provide high-level administrative support to our executive team while taking on key human resources responsibilities.
Key Responsibilities:
- Serve as the primary point of contact for the executive team, managing correspondence, scheduling meetings, and maintaining calendars.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Prepare and edit documents, reports, presentations, and meeting materials.
- Conduct research and compile data to support decision-making and strategic initiatives.
- Manage expense reports and assist with budget tracking.
- Foster effective communication within the executive team and across departments.
HR Support:
- Assist in the recruitment process, including posting job openings, scheduling interviews, and coordinating communications with candidates.
- Support onboarding and orientation for new hires, ensuring they are equipped with necessary tools and resources.
- Maintain employee records and assist with updating HR databases.
- Organize and track training programs and compliance requirements.
- Address basic employee inquiries about HR policies, benefits, and procedures, escalating complex issues when necessary.
- Help coordinate employee engagement initiatives such as events, team-building activities, and recognition programs.
Requirements:
- Bachelor's degree in business administration or a related field (or equivalent experience).
- 3+ years of experience as an Executive Assistant or in a similar role; HR experience is a plus.
- Exceptional organizational skills and attention to detail.
- Strong interpersonal and communication skills, with the ability to maintain confidentiality.
- Proficiency in Microsoft Office Suite; familiarity with HR software/tools is preferred.
- Ability to manage multiple priorities and thrive in a fast-paced environment.
