Job Title: Office Manager

As a key member of the HGS Digital business operations team, the Office Manager will play a pivotal role in ensuring the smooth day-to-day functioning of our office operations.

Key Responsibilities:
  • Oversee office logistics, including supplies, IT, and vendor management.
  • Coordinate and supervise administrative processes and housekeeping operations.
  • Ensure compliance with regulatory standards, including ISO 9001, ISO 27001, HIPAA, GLBA, PWC, PCI, and other audit-related certifications.
  • Collaborate with Building Administrators on site-related issues, including safety and inspection documentation.
  • Implement and maintain safety protocols to safeguard against fire, theft, and emergencies.
  • Provide emergency preparedness information and conduct presentations related to facility activities.
  • Assist with audit preparedness and activities.
  • Prepare incident reports and security-related event logs.
  • Manage access for employees, visitors, contractors, and outsourced personnel, while maintaining visitor logs.
  • Assist with office and conference room reservations.
  • Greet guests and visitors, maintain a clean work environment, and answer phone calls.
  • Receive, sort, and distribute incoming mail and deliveries.
  • Handle confidential information with responsibility.
  • Assist with administrative tasks, including copying, scanning, faxing, and note-taking.
  • Support the Chief Executive Team with scheduling and calendar coordination.
  • Contribute to planning and organization of company-wide events, social gatherings, and training sessions.
Requirements:
  • Education equivalent to a bachelor's degree or equivalent work experience.
  • Proficiency in MS Office, Adobe Acrobat, Zoom, and survey and scheduling tools.
  • Ability to create and edit official documents and generate reports.
  • Exceptional collaboration and influencing skills, with strong communication and interpersonal abilities.
  • Capacity for strategic thinking and tactical execution priorities.
  • Possess a growth mindset, with business and personal development.
  • Creative problem-solving abilities.
  • 1-3 years of relevant experience.

Travel Requirements: No travel required.

Pre-employment Requirements: Successful completion of a pre-employment drug screening and criminal background check.
