Role Summary:

As an Operations Coordinator, you will play a crucial role in providing logistical and supply chain support for our products. This includes managing transportation for both domestic and international clients and suppliers, overseeing production planning, and coordinating activities with contract manufacturers and co-packers. We are looking for motivated individuals who are passionate about contributing to a collaborative team.

Key Responsibilities:

  • Assist in preparing and monitoring contracts alongside the sales team; coordinate the development and execution of contract administration plans, ensuring ongoing oversight of contract performance and addressing issues as they arise.
  • Ensure timely and accurate management of accounts and orders for various clients through direct communication with customers, vendors, and the sales team.
  • Build and maintain strong customer relationships while assisting sales personnel in identifying customer needs and resolving issues, as well as suggesting process improvements.
  • Track and manage all pending orders, including entering, troubleshooting, and communicating updates regarding scheduling, cancellations, and inactive orders.
  • Address customer complaints by providing appropriate solutions and alternatives within specified timeframes; follow up to ensure optimal resolution.
  • Review contracts and orders for accuracy and completeness, obtaining necessary information and approvals prior to shipment release.
  • Collaborate with the sales team on contract releases and generate shipment releases and labeling for suppliers.
  • Communicate effectively with overseas suppliers and the Shared Services Team.
  • Review and approve sailing schedules, draft labels, commercial invoices, and coordinate bookings.
  • Maintain organized documentation and compliance with customer and government regulations, including ISF data.
  • Ensure meticulous record-keeping for auditing and reporting purposes.
  • Assist with invoicing and billing functions, tracking necessary follow-up actions for invoices.
  • Support accounts receivable in managing invoice discrepancies and claims, communicating issues and resolutions to internal and external customers promptly.
  • Manage returns, damage claims, and complaints, ensuring effective communication of causes and resolutions to relevant business partners.
  • Participate in team initiatives aimed at continuous improvement.
  • Engage in special projects and other duties as assigned by management.

Qualifications:

  • Deliver quality service to internal and external customers while upholding company values.
  • Strong oral and written communication skills with a focus on follow-up and organization.
  • Proficiency in Microsoft Office and Outlook.
  • Familiarity with ERP systems is preferred.
  • Understanding of domestic transportation terms and procedures, including freight terms and documentation.
  • Knowledge of international terms and procedures, including INCOTERMS and customs clearance.
  • Experience in production planning and execution, including scheduling and material assignment.
