Position Summary:

We are in search of a detail-oriented Part-Time Operations Assistant to facilitate the everyday functions of our swim school. The successful candidate will excel in scheduling, class management, and customer relations, and should be adept at utilizing software such as Jack Rabbit or similar sports scheduling applications. This position necessitates an individual capable of aiding in staff management, coordinating schedules, and ensuring our swim programs operate seamlessly.


Key Responsibilities:
  • Assist in overseeing the daily operations of the swim school, including class and staff scheduling.
  • Support the development and modification of class schedules to meet demand and instructor availability.
  • Deliver outstanding customer service by addressing inquiries, resolving issues, and ensuring a positive experience for students and their families.
  • Utilize Jack Rabbit or similar tools for class management, scheduling, and customer communication.
  • Provide support to staff performance through assistance and coordination as required.
  • Ensure adherence to safety regulations and contribute to a secure environment for both students and staff.
  • Collaborate with the management team to enhance operational strategies aimed at boosting efficiency and customer satisfaction.
Minimum Qualifications:
  • High School diploma or equivalent.
  • Strong interpersonal communication and organizational skills.
  • Proficient in Microsoft Office Suite.
  • Experience with Jack Rabbit is preferred but not mandatory.
Preferred Qualifications:
  • At least 1 year of experience in customer service and/or management.
  • Background in swimming and fitness instruction/management is preferred; a specialist aquatics qualification is a plus but not required.
  • Experience in an administrative or operational support role, ideally within a swim school or comparable setting.
  • Solid understanding of scheduling, class development, and customer service.
  • Familiarity with Jack Rabbit or similar sports scheduling applications.
  • Exceptional organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Capacity to thrive in a fast-paced environment and manage challenging situations with professionalism.
